The vehicle is the basic building block of a rental company. Flotello supports trailers, cars and vans, carts, machines and campers — each with its own price list, deposit and accessories.
Creating a vehicle
In the Vehicles section, click “Add vehicle”. Only the type and name are required; the registration plate, photo and other details are optional. The price list has an hourly and a daily rate — leave blank whatever you don’t use.
The vehicle detail has two tabs: Rental operations (everything that affects rentals — price list, deposit, extras, accessories, rules, blocks) and Fleet records (the company’s internal details, documents and service history). The records are covered by the separate Fleet records guide.
Seasonal price list
Each vehicle can have seasonal periods with their own rate (say, summer prices for a camper). A period is entered as specific from–to dates and periods must not overlap — the system enforces that. The reservation price is calculated day by day: a day within a period = the period’s rate, other days = the base price list.
Service fee and first/last-day discount
You can charge a fixed service or cleaning fee on every rental of a given vehicle — just fill it in under the Price list and deposit section. An empty field means no fee is charged.
In the same place you can enable a discount on the first and last day of the rental and enter it as a percentage. The customer typically picks the vehicle up in the afternoon and returns it in the morning, so the edge days aren’t used in full. The discount only applies to rentals of two or more days. Offered extras
If you keep a library of paid services under Settings → Extras (barbecue, bed linen, child seat), you tick for each vehicle which of them are offered with it — to staff when creating a reservation and to the online customer. The offer can therefore differ from vehicle to vehicle.
Deposit
You set the deposit amount on the vehicle. It is then pre-filled at handover — the customer pays it when taking over the vehicle, not earlier. Refunding the deposit is covered by the Deposits and payments guide.
Mileage limit
For cars and machines, an optional km/day limit and a price per extra kilometre come in handy. The mileage is calculated automatically from the handover protocols (odometer reading at handover and return) and the system proposes the surcharge itself.
Accessory checklist
For each vehicle you define a list of accessories (straps, ramps, gas bottles…). At handover and return, the checklist is ticked off in the protocol — nothing gets lost “along the way”.
Blocks
When a vehicle can’t go out (servicing, damage, internal use), block it for the given period. The block shows in the calendar and the vehicle cannot be reserved for its duration.
Archiving
Archive a vehicle you no longer rent out — it disappears from the offer and doesn’t count towards your subscription tier limit, but its entire history (reservations, contracts, protocols) remains. An archived vehicle can be restored at any time, as long as that doesn’t exceed the tier limit.
