Rental companies rarely rent out just the bare vehicle. A barbecue, bed linen, a child seat, cleaning after return, a Sunday-evening handover — all of this used to be calculated by hand and written into a note. Flotello turns it into proper reservation items that flow into the price, onto the invoice and into the protocol.
Extras library
Under Settings → Extras you build a library of the services you offer. For each one you enter:
- the name as the customer will see it (“Barbecue”, “Bed linen”, “Child seat”),
- the price — in the mode you use for your price list (with VAT, or without, according to Settings → Invoicing),
- billing: once per rental, or per each started day.
Don’t delete an extra you stop offering — just remove it from the offer. It stays readable on older reservations and invoices.
The offer differs from vehicle to vehicle
The library is shared, but for each vehicle you choose what is offered with it — on the vehicle detail, Rental operations tab. Bed linen makes sense with a camper, not with a car trailer. A vehicle with no extras selected simply offers none.
Extras on a reservation
- Staff pick the extras right when creating the reservation; the price proposal recalculates immediately. On the reservation detail they can then add extras, change quantities or remove them at any time — every change adjusts the price and is written to the history.
- The online customer ticks the extras themselves in the booking form. Prices are always calculated by the server, never the browser — the customer cannot touch the amount.
Extras appear as separate lines on the invoice, and the rented items are added to the checklist of both the handover and the return protocol — so at return you won’t forget to check that the barbecue came back too.
Service and cleaning fee
A fixed amount you charge on every rental of a given vehicle (typically final cleaning) is set directly on the vehicle — vehicle detail → Price list and deposit → Service fee. It is added automatically to every new reservation of that vehicle, online or by staff. An empty field means no fee is charged.
Staff can remove the fee on a particular reservation (say, when the customer cleans up themselves). A later change of the amount on the vehicle does not carry over to already-created reservations — the items are a snapshot of the state at the moment of booking.
Surcharge for handover outside working hours
If you track handover times (Settings → Reservations and cancellation), you can set a surcharge for handover or return outside opening hours. The details and how slots behave are described in the Reservations and calendar guide.
The surcharge is billed as a separate item — for the online customer as well as on a reservation created by staff.
First and last day discount
The customer usually picks the vehicle up in the afternoon and returns it in the morning, so the edge days aren’t used in full. You can therefore enable a discount on the first and last day of the rental on the vehicle and enter it as a percentage (vehicle detail → Price list and deposit).
The discount applies to the rate of the first and the last started day; the middle days stay at full price. It doesn’t apply to a one-day rental — that would be a blanket discount, not an edge-day discount. It shows as a separate line in the price breakdown, so both the customer and staff see exactly why the days cost different amounts.
