Minimum Hire Period: When Hourly Hire Pays and When It Doesn't

How to set a minimum hire period, booking lead time and turnaround gaps so the calendar does not fill with holes — and why the rules should bind online bookings harder than your own staff.

The customer who wants a trailer for two hours to move a sofa is a good customer — as long as they do not cost you the one who wanted the same trailer for the whole weekend. Hire-length rules are not bureaucracy. They are the rules by which the calendar fills.

1. Why a short hire is not cheap

Every hire carries a fixed cost that does not depend on its length:

  • communication and booking,
  • handover with condition report and photos,
  • return and inspection,
  • cleaning,
  • paperwork — agreement, payment, deposit, invoice.

For a trailer that is perhaps twenty to forty minutes of work; for a vehicle or motorhome considerably more. A two-hour hire at an hourly rate can easily land below cost. There are two fixes, and they combine well: a minimum charge (you may hire for an hour, but you pay for at least four) and a minimum bookable period (shorter slots cannot be booked at all).

2. Four rules that run the calendar

---|---|---

The gap is the most underrated of the four. Without it, the system will sell a 10 o'clock collection on a unit due back at 10 o'clock, and the first late customer wrecks the day. How to handle late returns is covered in When a customer returns rental equipment late; how the calendar prevents clashes is in Prevent double booking.

3. Minimums by type of equipment

One rule for the whole fleet does not work. As a rough logic:

  • Trailers — hourly or half-day hire makes sense; demand is short and turnaround is quick. A minimum charge protects you better than a ban.
  • Vans — half a day to a day; a house move does not fit in two hours and returns run late.
  • Cars — usually a day.
  • Plant and machinery — a day, often with hour-meter billing; short hires are made expensive by delivery and induction.
  • Motorhomes and campervans — several days to a week in season, a weekend off season. Preparation and cleaning take hours.

These are pointers, not standards. The right minimum comes from your own data: how long your hires actually are and what one turnaround costs.

4. Season changes the rules

In peak season every unit-day is valuable, and a short midweek hire can block a week-long booking. Off season, every hire is welcome. So:

  • raise the minimum in season (motorhome by the week, Saturday to Saturday),
  • relax it off season (weekends, long weekends),
  • for trailers, consider a weekend minimum: whoever wants it on Saturday takes it for the day.

How to plan the season in prices as well as rules is in Seasonal pricing for a rental fleet.

5. Holes in the calendar, and how to avoid them

The classic problem: one hire Monday to Wednesday, the next Friday to Sunday. Thursday stays empty, and with a two-day minimum nobody can book it. Three things help:

1. Fixed changeover days for long hires (motorhomes Saturday to Saturday) — holes never form.

2. An exception to fill a gap — staff may sell an orphaned day below the minimum.

3. Price instead of prohibition — a short hire is possible, but with a surcharge or a minimum charge. The customer decides.

6. Strict online, sensible on the phone

The rules play two roles. In online booking they work as a machine: the customer never sees a slot that breaks the rules, and nobody has to explain anything. Why that matters for out-of-hours bookings is covered in Taking rental bookings on your own website.

On the phone and at the counter it is different. A regular who needs a trailer for an hour on a Tuesday morning, when it would be standing idle anyway, should hear "yes". Staff should be able to override a rule — but knowingly, with a confirmation and a record, so it is visible afterwards who made the exception and why. The one thing nobody should ever be able to override is a genuine clash between two hires.

7. Telling the customer

  • State the minimum in the price list and on the unit's page, not in an error message.
  • Phrase it as a price, not a ban: "Minimum charge is four hours" reads better than "We do not hire for less than four hours."
  • Give the reason for lead time: "For same-day hire, please call."

How to build the price list around minimum charges is in How to price equipment rentals.

Where Flotello fits

Flotello keeps booking rules per unit: minimum and maximum length, lead time and the gap between hires. Online they apply without exception — a customer simply cannot pick a slot that breaks them. Staff can override with a confirmation, and the exception is written into the booking history; a real clash of dates is blocked by the database for everyone. Add seasonal prices and fixed handover times. The settings are explained in the help centre, plans on the pricing page, and you can try it free for seven days after registration.

Frequently asked questions

Is it worth hiring trailers out by the hour?

Yes, if the hourly rate or a minimum charge covers the fixed cost of handover and return. Trailer demand is often short and turnaround is quick.

What is the difference between a minimum hire period and a minimum charge?

A minimum period stops shorter bookings being made at all. A minimum charge allows the short hire but bills it as the minimum. The second is friendlier to customers.

Should the minimum be the same all year?

No. In season a unit-day is worth more, so the minimum is usually higher; off season it pays to relax it and sell weekends.

How big should the gap between hires be?

As long as inspection and cleaning really take, plus slack for a late return. Tens of minutes for a trailer, several hours for a motorhome.

Should staff be allowed to break the rules?

They should — knowingly, and with a record of who did it. Online bookings should get no exceptions, and nobody should be able to override a genuine clash of two hires.
